]]> Office of Scholarly Communications Annual Report FY 2009 http://digitalcommons.unl.edu/ir_information/75 http://digitalcommons.unl.edu/ir_information/75 Fri, 03 Aug 2012 12:39:05 PDT FY 2009 was the 4th year of operations for the UNL Digital Commons, which again established new records for recruitment, participation, and usage.

During the year, the repository grew from being the 4th largest in the United States to the 2nd largest, overtaking MIT’s DSpace and Ohio State’s KnowledgeBank repositories. Nebraska now trails only Michigan’s Deep Blue in number of documents in a traditionally configured institutional repository.

8,393 new open access articles were deposited, an increase of 1,275 (18%) over the previous year. At June 30, 2009, the repository held 23,885 open-access documents, plus 10,965 ETDs in the ProQuest database, for a total of 34,850.

1,379,604 downloads were furnished, an increase of 550,379 (66%) over the previous year.

Important developments included expansion of the UNL DigitalCommons repository by over 7,000 items, a major increase in downloads furnished from the repository, passage of a UNL Faculty Senate resolution endorsing use of the repository, creation of an e-book imprint, registration as a publisher with Portico for permanent storage of journal content, recognition in a feature article in The Chronicle of Higher Education, multiple campus, national, and international presentations by Paul Royster and Sue Ann Gardner, ranking of 17th among institutional and 33rd among world repositories by the Cybermetrics Lab in July 2010, enrollment of several UNL publishing centers, and more widespread acceptance of the repositories role and function on the UNL campus.

Its DigitalCommons repository is the nation’s second-largest, but perhaps its most impressive feature is the degree of faculty acceptance and participation. Other libraries are challenged to get faculty to contribute to their repositories; we are challenged to keep up with the incoming volume and ongoing demand for services. Our library publishing efforts are also a model for others, and we are a leader in the development of electronic publishing of open-access academic materials.

Report includes list of accomplishments, analysis of trends, assessment of challenges, and statement of goals for next fiscal year.

Word 2010 Fonts Embedding Issues Resolved http://digitalcommons.unl.edu/ir_information/70 http://digitalcommons.unl.edu/ir_information/70 Thu, 21 Apr 2011 11:40:28 PDT Earlier this week I was “upgraded” from MS Office 2007 to MS Office 2010. In addition to the annoyance of hours spent reconstructing my former settings and toolbars for Word, I also discovered another issue: Word files saved as PDF refused to embed some fonts, specifically those deriving from Excel or other charts and graphs inserted into Word documents.

Previously, Word 2007 had interoperated with an Adobe Acrobat plug-in to properly convert such files and embed all fonts according to Acrobat’s preference settings. But for Word 2010, there is no working Acrobat plug-in, and Microsoft has proudly included their own PDF generator, which is the problem. It will embed the Times Roman or Arial used by Word in the text, but not the Times Roman or Arial that occurs in an inserted graphic. So the Fonts report (in the File > Properties menu) will show both, one as embedded the other as not.

Word 2010 now allows you to embed fonts when saving a file (in the File > Options > Save menu), but this does not correct the problem with PDF files mentioned above.

At first I was reduced to embedding the fonts “the old-fashioned way”: i.e., opening the incompletely embedded file in Acrobat and printing it to a new PDF file, thus allowing Acrobat to embed all the fonts properly. Of course, this was 2 steps where previously 1 had sufficed.

Today, acting on information from the Adobe site “Acrobat 9 PDFMaker and Microsoft Office 2010 Known issues” http://kb2.adobe.com/cps/843/cpsid_84399.html , I discovered 2 ways to bypass MS Word’s problematic (at least as far as fonts embedding) PDF generator:

1. From Acrobat, use File > Create PDF > From file and select the Word 2010 document. This will generate a PDF file with all fonts embedded (provided that’s what your Acrobat settings dictate).

2. From Windows Explorer (what you use to navigate the folders and files on your PC), right-click on the Word 2010 filename you want, select “Create PDF ...” This will also generate a PDF file with all fonts embedded (again, provided that’s what your Acrobat preferences say).

I am using Adobe Acrobat 9, and Adobe says that it is not compatible with Office 2010, but that Adobe X is. I am not anxious to endure another upgrade anytime soon, so I was happy (elated, even) to discover a way around the problem. I manage a digital repository and assist students with creating and uploading PDF files to 2 archives, one of which (ProQuest ETDs) will reject PDF files if there are non-embedded fonts, so this was a major issue.

This short treatise derives from work done in the process of scanning published and original materials to create PDF files for online publication or deposit in our institutional repository. This approach assumes you have a scanner and software to drive it, and also three software programs from Adobe (sold together as their Creative Suite): Adobe Acrobat, Photoshop, and InDesign.

With 32,103 total files as of March 31, 2009 (including 10,890 restricted access dissertations), the UNL Digital Commons ranked as the 3rd largest university repository in the United States (trailing only the University of Michigan’s Deep Blue and Ohio State University’s Knowledge Bank).

Distribution of usage was spread quite broadly across the available files, with more than 50% of all downloads registered on articles with 14 or fewer for the month. The most popular 2,100 files accounted for half the downloads.

Some highlights:

• Total downloads rose by 11,672 (13%) over the total for August, to 104,975.
• 14,242 of 18,443 (77%) of available open-access documents were downloaded at least once during the month. The average number of downloads per document was 5.69.
• Downloads were furnished to more than 140 countries (data not shown), including Burundi, Mongolia, Rwanda, Uzbekistan, Afghanistan, Nauru, Tuvalu, Angola, Cook Islands, Lao People's Democratic Republic, and The Democratic Republic of the Congo. 36,119 downloads (34% of the total) went to international users. Canada, India, Great Britain, Australia, Germany, France, Italy, Mexico, Spain, and Brazil were the most frequent destinations.
